TERMS & CONDITIONS

POLICIES AT A GLANCE

At Verte Studio, we believe the best work comes from clear communication, mutual respect and aligned expectations. These policies are here to create a smooth, transparent experience for both of us.

If anything is unclear, we’re always happy to clarify.

BOOKING & PAYMENT

  • A non-refundable booking fee is required to secure your project and confirm your place in our schedule. The remaining balance will be payable according to the terms outlined in your proposal or invoice.

  • Projects under USD $300 require full payment upfront.

  • Work will begin once the required payment has been received.

PAYMENT TERMS & LATE FEES

  • Unless otherwise stated, invoices are payable within 30 days of issue.

  • Overdue balances may incur a late fee of 2.5% per month.

  • Verte Studio reserves the right to pause work while invoices remain outstanding.

SCOPE OF WORK

All services are delivered according to the scope agreed in your proposal and/or invoice.

  • Work completed in accordance with the approved brief remains billable, regardless of whether the final deliverables are ultimately used.

  • Requests outside the agreed scope will be quoted separately and approved in writing before additional work begins.

REVISIONS & FEEDBACK

  • Each project includes a defined number of revision rounds, as outlined in your proposal or invoice.

  • A revision round consists of one consolidated set of feedback provided at the agreed stage.

  • Additional revisions or changes beyond the agreed scope may be charged at an hourly or per-round rate.

  • Smaller or miscellaneous design projects, including stationery and social media templates, include up to two revision rounds unless otherwise stated.

  • ​

Major changes in direction, requests for entirely new concepts, or changes made after approval fall outside the original scope and will be quoted separately.

PROJECT PAUSES

Timely feedback and content are important for keeping projects moving.

​

  • If required feedback, content or information is delayed for 30 business days, the project may be placed on pause.

  • A Pause Fee of 5% of the total project fee may apply when a project is resumed after an extended pause.

  • Project timelines will be adjusted accordingly, and resumed projects are subject to Verte Studio’s availability.

CANCELLATION & TERMINATION

  • Either party may terminate a project with 7 days’ written notice.

  • If a client cancels a project without cause, a cancellation fee of 10% of the total project value may apply.

  • All work completed up to the termination date remains payable.

  • The booking fee remains non-refundable.

OWNERSHIP & USAGE

  • All designs and deliverables remain the property of Verte Studio until the project has been paid for in full.

  • Upon receipt of final payment, the agreed ownership and usage rights for the completed deliverables transfer to the client.

  • Unpaid work may not be used, published, shared, reproduced or distributed.

Verte Studio reserves the right to request the removal of unpaid work from websites, social media or other public platforms.

PORTFOLIO USE

Unless otherwise agreed in writing, Verte Studio may showcase completed work for portfolio, website, social media and promotional purposes.

Confidential, unreleased or embargoed work will not be shared publicly without permission.

THIRD PARTY COSTS

Third-party costs required for a project — including fonts, stock imagery, mockups, printing, specialist services or other licensed assets — are billed separately and will be approved in advance where applicable.

RUSH & PRIORITY WORK

Requests requiring accelerated timelines, weekend work or work outside normal scheduling may incur a 20–40% rush fee, depending on availability and scope.

Rush work is subject to availability and cannot always be accommodated.

COMMUNICATION & CONDUCT

We value open, respectful and professional communication throughout every project.

Verte Studio reserves the right to pause or terminate a project if communication becomes inappropriate, abusive, hostile or persistently disrespectful.

GOVERNING LAW

These terms are governed by the laws applicable in South Africa, unless otherwise agreed in writing.

A FINAL NOTE

By booking services with Verte Studio, you acknowledge and agree to these policies and the specific terms outlined in your project proposal or invoice.

Our aim is always to create a supportive, collaborative experience — with clear boundaries that give everyone the space to do good work.
